Quoting app for contractors and tradespeople
I build quoting apps as custom web applications, from €2,500, with a typical timeline of 4–10 weeks. You get an item catalogue, quantity entry on a phone, VAT calculation and a PDF quote. It's built for tradespeople and contracting firms who want consistent quotes without retyping the same figures out of a spreadsheet.
A quote should come together while the measurements are still fresh
On site you write down dimensions, materials and notes, then re-enter the same information into a spreadsheet later. Along the way, an old price sticks around, or work you agreed verbally gets left out. So the app is shaped around your existing quote format. The goal is that you pick items, enter quantities and save a draft while you're still standing in front of the client.
Before building anything, we go through a few anonymised examples: a simple quote, one with a discount, and a case where the scope changed midway. From those we agree on units, rounding, item order and document versions. The software needs to follow your actual pricing logic — not force every job into one vague total.
What a quoting app can include
Catalogue of work and materials
Each item gets a name, a unit, a unit price and a category. You find frequently used items with search instead of retyping them. Where labour and materials are priced separately, that distinction carries through to the final document.
Fast entry on a phone
The on-site screen has clear fields for quantity, unit and notes. The layout is built for thumb use on smaller screens. We agree on autosaving drafts and a clear status indicator, so you know your last changes were saved.
A verifiable VAT calculation
The app calculates line items, subtotals, discounts and tax according to rules you confirm with your accountant. Rates are a setting, not a developer's assumption. The on-screen preview and the PDF need to use the exact same calculation and rounding.
PDF quote for the client
The document includes your details, line items, total, validity period and agreed terms. You can download it and send it through your own channel. Before development we match the layout to a real example, including long descriptions and multi-page quotes.
Pricing and access administration
An authorised person updates the catalogue and prices, while staff put together quotes within their own permissions. A price change later shouldn't silently alter a quote that was already sent — so we keep the live catalogue separate from a saved document.
Drafts and quote versions
A client may ask for different materials or a smaller scope. Instead of deleting the earlier agreement, we can keep a new version with the changed line items — so you can see what's been sent, what's still being worked on, and which version needs confirming.
Client and job details
Contact info, the job address and internal notes sit alongside the quote. You don't re-enter the same client for every job. We decide what data staff need and what should appear on the document itself.
PWA access
The app runs in a browser and, where supported, can be added to a phone's home screen. That's not an automatic promise of offline use — drafts saved without a connection and later synced are scoped separately if you actually need them.
Cost and timeline
| Package | Starting price | Typical timeline |
|---|---|---|
| Custom web application | from €2,500 | 4–10 weeks |
The starting custom application package covers the agreed catalogue, quote building and administration. Price goes up with complex formulas, multiple approval levels, special documents, or connecting to other software. What matters most in the estimate is your actual calculation process, not the number of screens.
The 4–10 weeks window needs an agreed scope and timely review of your examples. You get a fixed quote within 48h of a short call. We separate the necessary first version from a future CRM, inventory or invoicing system. Maintenance is a separate line item from €50/month — larger new features aren't the same as regular fixes and updates.
A real project
I haven't published a quoting app for a trades business specifically. My closest reference is the DriveSoft operations back-office built in Laravel: administration of passengers, routes, departures and reports. That's experience with the same kind of internal business tool, where staff enter data daily and work within defined permissions.
The Srbija Tours / DriveSoft platform has processed 150,000+ tickets and reservations. That number belongs to the transport system, not to a future quoting app. What carries over from that work is discipline around data processing, input validation and clear administrative flows. The formulas, VAT rules and layout of your own quotes get built around your examples, with your business sign-off.
Why work directly with a developer, not an agency
One person from the call to the server
You agree on scope with me, follow development, and take over a finished site. Questions go straight to the person writing the code.
A fixed quote for the agreed work
You get a price, scope and phases within 48h of a short call. Anything beyond that scope is agreed in advance, separately.
No agency markup
Working directly can be more affordable than an agency, since you pay for development and the services you actually need, with clear accountability for delivery.
Maintenance from €50/month
Fixes are free for the first 30 days after launch. Ongoing support and maintenance are agreed separately, based on the pricing page.

Questions about the quoting app
Can this replace my spreadsheet?
It can take over your agreed process, but we first need to review the formulas and edge cases. Send anonymised examples with the expected totals. We specifically check rounding, discounts and tax. If your current spreadsheet reliably gets the job done and only one person uses it, we first assess whether a new app is worth building at all.
Can I put a quote together right from the job site?
Yes, the interface is built for a phone and fast item selection. Working online needs a network connection. If you often work without signal, offline storage and sync need to be scoped separately. A PWA label on its own doesn't mean every feature works offline — especially once several staff are editing data at once.
How is a material price change handled?
A new price applies to future entries, while an already-sent quote keeps its agreed figures. If you want to refresh an old quote, that's a deliberate edit or a new version — so a client never receives a document that quietly changed later. The exact approval and notification process depends on who manages your price list.
Is a PDF quote the same as an invoice?
No. This app is primarily for preparing quotes for work or services. If you need invoicing, fiscalization or a link to accounting, that's additional scope. You confirm requirements and tax treatment with your accountant, and I implement the agreed fields and calculations. A generated PDF isn't a substitute for whatever mandatory business documents you're required to issue.
Can every employee have their own account?
Yes. Permissions are set by role: someone drafts quotes, someone updates prices, someone approves the final document. It matters whether staff see only their own quotes or the whole team's. Those distinctions shape the app's scope, and we check access through real working situations, not just menu layout.
Can we add a record of completed jobs later?
Yes, a quote can become the start of a wider record, but we first establish what connection is actually needed. Accepted status, a work order and an invoice are different steps. In the first version we keep the data needed for the agreed job. Later expansion gets its own spec, so extra features don't quietly change the budget and timeline.
Send an example of a quote you write today
An anonymised spreadsheet or PDF and a short description of the work are enough to start the conversation. Together we'll settle the catalogue, calculation rules and first version of the app, with a fixed price before development starts.
