How much does a booking system or reservation app cost?

A booking website in my price list starts at €900, over 2–4 weeks. A simple site with an inquiry form can start at €450, but that's not automatically a booking system. For an application with specific rules, payments and fiscal receipts, the starting price is €2,500, over 4–10 weeks.

Offer and contact inquiryBusiness website from €450; no live-capacity tracking.1–2 weeks
Calendar-based bookingBooking website from €900; agreed availability, confirmations and a panel.2–4 weeks

These levels map onto the existing price-list packages. The starting price isn't a ceiling, and it doesn't include every possible integration. Your specific scope, third-party services and delivery phases go into the fixed quote.

An inquiry isn't the same as a confirmed booking

An inquiry form collects a preferred date, contact details and service information. Staff then check availability and reply. That flow can be entirely sufficient when you sell a small number of distinct services, or when every request needs a conversation regardless. What matters is that the confirmation message after submitting never claims a slot is booked if it hasn't actually been confirmed yet.

A real booking system needs to know what's available and reserve the right capacity the moment it confirms. It needs to handle simultaneous requests, changes and cancellations. That's a difference in what the software is responsible for, not just adding a calendar widget to a page. So before estimating, I ask who gives the final confirmation today, and where the authoritative record actually lives — in software, a spreadsheet, or a schedule staff update by hand.

What's included at the calendar-based level

The booking package in the price list starts at €900. For the agreed scope, we plan an availability calendar, an admin panel and notifications. We also define pricing rules, languages and the confirmation method the project needs. An apartment reserves a stay, a salon reserves a service duration, a car reserves a rental period — each case needs different rules for what counts as 'taken'.

A small set of concrete examples brings the most clarity. What happens if a guest extends their stay, a staff member goes on leave, or a vehicle is stuck at the garage? Who enters a booking that came in by phone? The answers determine the real scope of the panel and its checks. If that data isn't available to the system, automatic confirmation can't reliably account for it — so we agree together on who's responsible for entering it, alongside the technical feature.

When the price moves into a custom application

The starting price for a custom web application is €2,500, over 4–10 weeks. We consider it when a booking connects several user roles, sales channels, calculations and integrations — for example, ticket sales that need to reconcile a seat, a payment, a document and a boarding check. That kind of system carries more responsibility than simply accepting an appointment.

Payment or fiscal-receipt integration isn't one universal add-on with the same price for everyone. It requires reviewing the provider, a test environment, and error-handling procedures. We also define cancellations, refunds and repeated notifications for the same transaction. The application's starting price doesn't mean every combination of these features is included — the quote states exactly which flows I'm building and how we verify their behaviour before launch.

What usually raises the price and extends the timeline

Complexity grows with rules that depend on each other: seasonal rates, different resources, staff permissions, and data from another system. Importing an old record can require reconciling formats and checking for duplicates. Multiple languages need prepared content and a review of every message a user receives. Timeline also depends on access to third-party services and how quickly you make decisions.

Budget stays under control with a clear first version. We can start with an inquiry and manual confirmation, or automate one complete flow before adding others. What matters is that the limitation is visible to both the user and staff. You get a fixed quote within 48h of a short call and clarifying the scope. Hosting, payment fees and message-sending costs are kept separate from development, since they depend on the providers you choose and actual usage.

Two projects that show the difference in scope

Leto Halkidiki organises private accommodation by destination, place and property, and supports four languages. Its current flow is built around inquiries emailed to owners. It's a concrete example of a portal with structured content and administration, but I don't present it as automatic availability tracking or accommodation payments.

Srbija Tours / DriveSoft, by contrast, connects reservations, ticket sales, QR validation, fiscal receipts and an operations panel. The platform has processed 150,000+ tickets and reservations, with 100+ internal users. These figures describe an existing project, not the scope every new client gets for the starting price. The case studies help you show which parts you actually need, and what would be unnecessary for your business in a first phase.

Questions about booking system pricing

Is €900 the final price for any booking system?

No, that's the starting price for the booking package. The final figure depends on availability rules, languages, integrations and administration. You get a fixed quote listing the features before work starts. If the scope you need grows into a more complex business application, I'll say so during the estimate and tie the quote to the matching package — I won't promise everything fits the minimum.

Can I start with just an inquiry form?

Yes, if manual confirmation is a good fit for how your business runs. We then clearly mark that a request was received and that availability is still being checked. The business-website package from €450 is the base for a simple site — not for bookings with automatic capacity holds. The exact form fields and inquiry handling are specified in the quote.

Is online payment included in the package?

The price list lists online payment as an option. The specific quote needs to state whether it's included, and for which provider. Beyond building the connection, there are that provider's own terms and fees. Before starting, we check how a transaction gets confirmed, how it's tested, and the cancellation process — a payment button alone doesn't solve the whole booking flow.

How much should I budget for maintenance?

My maintenance package starts at €50/month. Its scope is agreed based on the price list and the needs of the delivered site. Hosting and third-party services are considered separately, and new features are additional development. The first 30 days after launch include free fixes, with no requirement to commit to a monthly maintenance plan straight away.

What should I send to get an accurate price?

Describe what's being booked, how you determine availability, and who confirms a request. Send an example price list and a list of any systems that need connecting, without real customer personal data. Examples of a cancellation or a change are useful too. From that I can separate the standard flow from the exceptions that add to development scope.

Can I add a staff-facing app later?

You can plan for that expansion, but its scope needs its own estimate. Browser access, a PWA, and a dedicated mobile app are different deliverables. It matters whether staff just need to view the schedule, or check tickets and work without a stable connection. We build the first version around known needs, without paying upfront for undefined future features.

Get a price based on the rules your business actually uses

Send an example booking from the first inquiry to final confirmation. I'll propose the right level of solution, what belongs in the first version, and a fixed quote based on the actual scope.
